Job Summary

Saint John the Evangelist Catholic School is seeking a dedicated, faith-filled, and organized School Secretary & Health Office Assistant to join our team. This position serves as the primary administrative support for the school office, providing assistance to students, parents, faculty, and staff while ensuring the smooth operation of daily activities. The role also includes assisting students in the health office, managing minor first aid needs, and coordinating health-related documentation.

Key Responsibilities

Administrative Duties

  • Serve as the first point of contact for students, parents, and visitors, ensuring a welcoming and professional environment.
  • Manage incoming phone calls, emails, and inquiries, directing them as needed.
  • Maintain student records, attendance logs, and other essential school documents.
  • Assist with communication to families, including newsletters, announcements, and updates.
  • Support school leadership, faculty, and staff with administrative tasks such as scheduling, correspondence, copies, and data entry.
  • Coordinate school events, field trips, and special programs in collaboration with staff and volunteers.
  • Manage a timely attendance and lunch process.
  • Create and maintain a comprehensive school calendar.
  • Inventory school supplies.
  • Compile information and write the weekly school newsletter.
  • Support field trip planning and logistics working with both teachers, cafeteria personnel, business manager and chaperones.

Health Office Assistance

  • Collect and maintain health information and records.
  • Provide basic first aid and care to students in the health office.
  • Administer medication to students as directed by school policy and parental/physician authorization.
  • Maintain health records and ensure compliance with state and diocesan health requirements.
  • Communicate with parents regarding student illnesses, injuries, and health concerns.
Requirements:

Qualifications & Skills

  • High school diploma or equivalent (Associate’s degree preferred).
  • Previous experience in office administration, preferably in a school setting.
  • Strong organizational and multitasking skills with attention to detail.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and ability to learn school-specific software.
  • Excellent verbal and written communication skills.
  • Ability to maintain confidentiality and handle sensitive information with professionalism.
  • First Aid and CPR certification (or willingness to obtain).
  • Understanding and support of the mission of Catholic education.
  • Complete Safe Environment Training through VIRTUS within the Archdiocese of Denver.
  • Complete fingerprinting and a criminal background check.
  • Agree to the Archdiocese of Denver Standards of Ministerial Behavior and have positive references or recommendations.
  • Be a practicing Catholic in good standing with the Church.

Work Schedule & Compensation

  • Full-time during the academic year (Monday–Friday, standard school hours) with a few evening and weekend days throughout the year, such as Back-to-School Night.
  • Part-time summer hours as determined by school administration.
