Position Summary

Denver Botanic Gardens is currently seeking a Full Time Manager of Event Logistics in our Events Department! Read below to see if the requirements might be a good fit for you:

The Manager of Event Logistics oversees the planning, coordination, and execution of our public events, ensuring seamless delivery from concept to completion. This role manages the event logistics, including budgets, ticketing, timelines, site mapping, and staffing schedules while collaborating with the Manager of Event Production & Design to ensure cohesive execution of the events.

This position will require that the Manager be primarily on-site at the Gardens location at York St., supervising a team of people and collaborating with interdepartmental teams frequently. It requires strong leadership, team management, and flexibility for varied schedules, including nights, weekends, and holidays. It is a fast-paced role in a position that is exposed to many facets of the Gardens operation.

Essential skills for this role include prioritizing tasks, managing time effectively, maintaining superb attention to detail, and demonstrating an advanced software skillset. The Manager must consistently uphold a professional, positive, and composed demeanor, exercising sound judgment and discretion while fostering a collaborative and productive work environment.

Requirements

General Duties and Responsibilities

  • Supervises and manages staff, including hiring, training, mentoring, and evaluating team performance. Updates Associates of Public Events & Institutional Calendar accordingly.
  • Conducts one-on-one meetings with direct reports as well as yearly performance evaluations.
  • Collaborate with the Associate Director of Public Events & Institutional Calendar on team performance, event planning, and budget management.
  • Drafts and manages contracts and service agreements under specified amount.
  • Builds and maintains project management system to track event logistics and team assignments.
  • Develops event timelines and staffing plans for public events.
  • Assists the Associate Director of Public Events & Institutional Calendar develop future event dates.
  • Represents the Public Events Team in meetings and collaborates with other departments to enhance visitor experiences.
  • Prepares reports, updates, and communications for leadership regarding project and event status.
  • Ensures event revenue goals are met and upholds the mission of connecting people with plants.
  • Develops and implements exclusive enhancements and themed experiences for select public events (Cash bars, Sensory Night)
  • Assists with hiring, training, and overseeing seasonal staff.
  • Serves as the on-site lead during events, ensuring all logistical components are executed as planned.
  • Troubleshoots and resolves issues that arise during events in a professional and timely manner.
  • Responsible for the calendar reservations for both Plant Sales and the Music Series.
  • Develops and oversees comprehensive timelines for major events, ensuring all milestones are met.
  • In collaboration with the Manager of Event Production & Design, leads the execution of large-scale events such as Spring & Fall Plant Sale, Evenings al Fresco, the Summer Concert Series, Glow at the Gardens, and Blossoms of Light.
  • Coordinates with the Manager of Event Production & Design to ensure seamless integration of creative and logistical elements.
  • Monitors expenditures and prepares financial reports post-event.
  • Develops site maps and layout plans to optimize event flow and attendee experience.
  • Coordinates with security, vendors, and other stakeholders to maintain smooth operations.
  • Maintains positive working relationships, upholds high-quality service, and demonstrate flexibility in work schedules.
  • Regular attendance at the worksite may be required. As with all positions at Denver Botanic Gardens, the incumbent must be in good performance standing to be eligible for remote work. Remote work is at the discretion of management at all times.

Position Qualifications: Knowledge, Skills and Abilities

  • Knowledge of Wrike, EMS, Social Tables, DocuSign, Figma, and Microsoft Office is preferred.
  • Must maintain a flexible schedule and be available early mornings, nights, weekends, and holidays depending on the events schedule.
  • Ability to manage and organize multiple large events/priorities and changing priorities at the same time in a team environment.
  • Ability to write reports and business correspondence.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Must have proven excellent customer service, interpersonal, and communication skills in dealing with the public.
  • Ability to maintain stability under pressure and able to deal well with stressful situations.
  • Ability to be flexible and willing to modify plans, when necessary, throughout the day.
  • Ability to work a flexible schedule, including evenings, weekends and/or holidays.
  • Must be able to maintain confidentiality of information.
  • Must be a positive representative of the Gardens both internally and externally at all times.
  • Must work with respect and cooperation at all times with fellow employees and the public.
  • Must be committed to working safely at all times.

Experience/Education

  • Bachelors degree and/or combination of education and equivalent experience is required.
  • Minimum of 5 years of experience in the events industry is required.
  • Supervisor experience is strongly preferred.
  • Position requires a valid driver’s license.

Travel

Up to 10% travel required. Requires the ability to travel to remote locations (or other Garden locations) where environment may vary significantly.
